People Services Specialist (Law 68/99)

We are looking for a People Services Specialist (Law 68/99) to join our Italy HR Payroll & Administration Team based in Milan.

 

How you make the difference

This position is important for Bolton as you will ensure a smooth and compliant management of company assets such as cars and mobile devices. You’ll support operational continuity and employee productivity across the organization.

 

 

How your agenda looks like:

The resource will be integrated into the People Services team and will be responsible for the operational and administrative management of the company’s vehicle fleet, ensuring timely updates, effective communication with the departments involved, and efficient interfacing with external suppliers.

 

  • Monitoring of company car rental contract deadlines
  • Updating files related to vehicles assigned to employees
  • Communicating assignment changes to Payroll and Administration
  • Entering and updating assignments and contracts in company systems
  • Creating and updating driving authorizations
  • Verifying and checking invoices related to the vehicle fleet
  • Operational management of Telepass devices (assignments, returns, withholdings)
  • Management of fuel cards (assignments, blocks, monitoring)
  • Liaising with lessors to handle issues related to accidents, tire replacement/transfer, and other operational aspects
  • Providing operational and documentation support in vehicle delivery and return procedures

 

 

Your team:

You’ll directly report to our People Services Coordinator.
This role does not include direct reports.

  • This position is open to candidates who belong to protected categories, in accordance with applicable laws and regulations (L. 68/99)
  • Work Experience: Previous experience (2+ years) in administrative, operations, or facility management roles, preferably in structured companies
  • Excellent organizational and priority management skills
  • Ability to interact with suppliers, employees, and company departments (HR, Administration, IT) is a plus
  • Strong communication skills and problem-solving orientation
  • Good knowledge of Excel and main Office tools
  • Strong attention to detail and high level of accuracy
  • Fluent in Italian, a good knowledge of English is considered a plus.
